CommonSpot: How to Create Internal and External Links

Learn how to create internal and external hyperlinks. Internal links refer to pages within the UWP site. External links refer to pages outside of UWP's site, such as the Higher Learning Commission - http://www.ncahlc.org.

Internal Link:


-  Open the page you want to work with in author mode (View > Work on this Page).

-  Click on the Formatted Text Block element action icon (gear), choose Text to open the Rich Text Editor.

-  In the editable region of the editor, enter the text that will be used to link to another page.

-  Highlight the text and choose the Link button from the toolbar.

-   From the Insert Formatted Text Block Link window, observe 3 tabs- Link Action, Mouseover Action, and Link Opening Properties

o   From the Link Action tab:

§  Click the Type drop down menu and choose Page or Bookmark on Page.

·         If the page is located in the same subsite as your page, click the Choose from current subsite button, select a page from the list and click the Use Highlighted Content link.

·         If the page is not located in the same subsite, click Quick Find. Enter search criteria in the Choose Page window to find the page you want to link to, click Search to display results. Select a page from the list and click the Use Highlighted Content link.

§  Clicking the Link Display drop down menu changes how the link looks, however, we do not recommend making any changes, please leave default.

o   From the Mouseover Action tab:

§  We do not recommend making any changes to these properties, please leave default.

o   From the Link Opening Properties tab:

§  Choose how your link is opened, by default it is set to ‘Open link in current window, replacing current page’, you can leave this default or change to ‘Open link in a new tab or window’.

-   Click Save.

-  Click Save to close out of the Formatted Text Block window.

-  Click the orange Preview button in the upper right corner and test your new link.

External Link:

It is recommended that any external links be registered through the Registered URL link type.  If the link is registered and the path changes at some point, you would only have to change it once and all pages referencing the link will be automatically updated.

-   Open the page you want to work with in author mode (View > Work on this Page).

-   Click on the Formatted Text Block element action icon (gear), choose Text to open the Rich Text Editor.

-  Highlight the text and choose the Link button from the toolbar.

o   From the Link Action tab:

§  Click the Type drop down menu and choose Registered URL. Note: if you have not registered your link, see instructions in the next section about registering. It is possible someone else has already registered the same URL so you may want to do a search first.

·         If the registered URL page is located in the same subsite as your page, click the Choose from current subsite button, select it from the list and click the Use Highlighted Content link.

·         If page is not located in the same subsite, click Quick Find. Enter search criteria in the Choose Registered URL window to find the URL page you want to link to, click Search to display results. Select the page from the list and click the Use Highlighted Content link.

o   From the Link Opening Properties tab:

§  Select ‘Open link in a new tab or window’. Note: when sending traffic away from the UWP site, it is best to set the link to open in new window, this allowing the UWP site to remain visible to switch back to.

-   Click Save.

-   Click Save to close out of the Formatted Text Block window.

-   Click the orange Preview button in the upper right corner and test your new link.

 Registering a URL:

-  Open the New menu, choose Registered URL.

-  Choose the subsite where the link’s reference will reside, click Next. Note: the subsite location will be used to help manage and find the link later.

-  From the Register New URL window, enter the required information about the link.

o   URL – fully qualified URL to the external link, you must include the http://.

o   Title – the title will appear in searches done within CommonSpot.

o   Description – a brief description of the link.

o   Category – grouping used to help find the page later, choose Registered URLs.

o   Publication Date – schedule the date/time the registered URL will be published.

o   Expiration Date – schedule the expiration date/time, can leave empty unless needing expiration.

-  Click Save, the URL is saved for later use.
