CommonSpot: How to Copy, Move, Rename and Delete Pages

Learn how to copy, move, rename and delete pages.

Copying Pages:

You must have Page Creation rights for both the source and destination subsites in order to copy a page.

-  Open the page you want to copy, click Copy Page from the Actions menu.

-  Choose the destination subsite from the Copy Page window, click Next.  Note: it will only display subsites for which you have rights.  Also, the destination subsite can be the same as the source, but the page name must be different.

-  From the Copy Existing Page window, change the standard page properties for your new copied page, this will look very similar to setting up a new page.  Include Name, Title, Title Bar Caption, Category, Publication and Expiration Date, also, on the Other tab, you can include a description and keywords. Click Next

-  CommonSpot creates your new copied page, you are ready for editing. 


Moving Pages:

Migrate a single page or multiple pages from one location to another. You must have Page Creation rights for both the source and destination subsites in order to move a page.

-  To move a single page:

o   Open the page you want to move, click Move Page from the Actions menu.

o   Choose the destination subsite from the Move Page window, click Next.  Note: it will only display subsites for which you have rights.

o   From the Move Existing Page window, you will see the standard page properties currently set, you can make changes at this time or leave as is.  Click Next.

o   CommonSpot has moved your page, you are now able to change custom page properties, once finished, click Save

-  To move multiple pages:

o   Open the My Content menu and select My Pages

o   Enter search criteria to bring up all of your pages.

o   Click on the checkbox next to the name of the page(s) you want to move and choose Move Selected from the More Actions dropdown menu. Click Go.

o   Choose the destination subsite from the Move Page window, click Next.  Note: it will only display subsites for which you have rights.

o   Check or uncheck items from the Move Conflicts and Warnings window, Click Continue

o   CommonSpot shows the status of moving your pages, with success, click to Close the Move Status window.

o   From the My Pages window, you will see the new subsite path, click to close or choose further editing of your pages.


Renaming Pages:

You must have administrative rights to rename a page.  Note: CommonSpot will automatically update all links to the page you have renamed.

-  Open the page you want to rename, click Rename Page from the Actions menu.

-  Overwrite the information populated in the Name, Title and Title Bar Caption fields as necessary.

-  Click Save

Deleting Pages:

You must have administrative rights to delete a page.  Note: once you delete a page, the action can’t be undone, it is permanently removed. 

-   Open the page you want to delete, click Delete Page from the Actions menu.

-  From the Delete Page Confirmation window, you will be notified of any links or references to the page you want to delete.

o   If there are no references, you can click Delete.

o   If there are references you should click on the View Referring Pages link. You will have the option to Change References, which is redirecting the links to new pages.  Once links are redirected to new pages, go back through the beginning deletion steps.
